An introduction

The agenda of today's meeting is to resolve the performance issue of workplace policy and potential breach (Prasad & Radhika, 2018). The grievances between two of you are impacting the overall performance of the project and we cannot tolerate such kind of misconduct which decreases productivity and creates an atmosphere of conflict in the organization as it is violating access and equity policy (Einarsen, Skogstad, Rørvik, Lande & Nielsen, 2018). This meeting is conducted to resolve the issues experienced quickly so that the impact is reduced. Every member of the organization has the responsibility to create a harmonious workplace and a culture of trust for one another (Mishra, Chaudhary, Sharma & Mehendale, 2018). You both will get an equal opportunity to address the issues so that we can conclude.

HRBP-  Ashley we have received a complaint against you for not completing your daily working hours from the HR department. Can you explain the reason behind not fulfilling daily working hours?

Ashley- I have had to leave suddenly form the organization a couple of times because my parents’ health is not good and I had to take my parents to the doctor for a regular checkup. This is why sometimes I had to go early from the office.

HRBP- It is found that reason that you are leaving early from office is that you have booked a tradesman at home to book and install Foxtel and this is why you leave early

Ashley- No, I leave because of the doctor’s appointment.

HRBP- Do you inform anyone prior so that work does not get affected?

Ashley- I leave the office in haste and this is why I am unable to inform the other staff members that I’ll be leaving early today.

HRBP- Isn’t your responsibility to inform higher authority members.

Ashley stayed quiet.

HRBP- Do you understand that its 1-hour 15-minute discrepancy? 

Ashley – I leave because of the emergency.

HRBP- It has been noticed that you leave as soon as Nadia leaves the office. It's an everyday routine that is hampering the work. It needs to be stopped because other people are raising questions that even they have work at home despite that they are completing working hours. It is affecting the policies of the organization.

Ashley – I assure you that work will not get affected.

HRBP- Why is it that the emergency at home does not come before Nadia leaves?

Ashley- Emergencies are not in our hand it can occur anytime.

HRBP - Absolutely, it can take any time then why is that every day you have to leave exactly 15 minutes after Nadia. She leaves at 3:35 pm and you leave at 4:45 Ashley, it’s not about working hours but about the rules which everyone abides to. You have to follow the rules and regulations.

Ashley- I will try my best to follow these. I am so sorry for the misconduct of not informing you about the reasons. I assure you that it’s a matter of one month. After that, I will complete the working hours daily. If required, I am ready to do the extra work but please permit me to leave early for at least this month.

HRBP- We cannot let you do because we do not have anyone else who would complete your working hours and we cannot go against the rules of the company.

Ashley- I assure you that there will be no problem from my side I will complete the entire work before leaving for the day. It is just a matter of one month. I need your cooperation.

HRBP- I will need to talk about it with higher authorities and will let you know about their decision.

Ashley- That would be helpful. Thank you.

HRBP- I hope you will keep up with your words.

Ashley- yes, I will be rest assured, thank you so much for your extended support.   

HRBP- Do you know it is because of you Alex is suffering as he has to complete even your working hours which isn’t correct.

Ashley- I wasn’t aware of it. Alex approached me and asked why I am leaving early.  Alex is my colleague and I don’t feel, I am supposed to answer him.

HRBP- Is this the way you behave with your co-worker?

Ashley- I do not think that I am supposed to give any justification to him.

HRBP- Alex is working extra hours to cover up your working hours. He has the right to know and ask the reason for it. You cannot communicate with any of the members be it your colleague or junior like that. It is a misconduct and I am strictly warning you that if you do not behave properly I would have to take strict actions against you (Dhingra, 2016).

Ashley- I apologize for my behaviour. I will make sure I will maintain good behaviour in the organization. I haven't been to my behaviour because of the stress of my family. I ensure you that I will not repeat any such mistake and will create a peaceful working environment for everyone around.

Ashley- I am sorry Alex for misbehaving with you. I should have not done this at all.

Alex- It’s okay dear but in any case or problem please do not be arrogant to someone else who is not at any fault and is trying to help you out by covering your working hours.

HRBP-I have listened to both of your concerns actively and without any biasness I am warning you both to behave properly in the organization.

Ashley- Nodded head

Alex- - Okay sir.

HRBP-  Okay, so I presume that everything is fine with both of you now.

Ashley – Yes, of course, without doubts.

Alex – Yeah, everything is fine now but I have a concern that please arrange someone else to complete the working hours because I will not be able to do it anymore. As I am unable to maintain a work-life balance.

HRBP- I think now the issue is resolved but you need to sign a mutual relationship agreement so that in case you misbehave properly your personal grievances does not impact the performance in the organization.

Alex- Thank you.

HRBP- No worries mate

HRBP- In case if you still feel that nothing is at its place. I think to strengthen your relationship you can go out for a lunch. It would help you solve your grievances with one another.

Alex- It’s a great idea

Ashley- Yes, thank you for the suggestion.

Closure

Such kind of situations can be handled properly as in this case the company leaders gave the equal right and treated both members with respect (Raines, 2019). They listened to the conversation properly and concluded after listening to the points of both sides.

Scenario

As the HR Business Partner, you have been approached by Nadia, a line manager, about a conflict between two of her employees, Alex and Ashley.

Alex came to Nadia to report that due to the staggered start and finish times in their area, any time that Nadia leaves first, Ashley leaves 15 minutes later. Ashley always has a 'reason' such as a doctor's appointment, a headache or an emergency at home. None of these issues are raised until after Nadia has left for the day. As Alex works the same shift as Ashley, she is constantly being asked to cover for Ashley and has run out of patience. When she told Ashley that it wasn't appropriate, Ashley just told her to mind her own business.

While it is a regular occurrence (at least once a week), Alex has provided specific details of the most recent occurrence:

Date:  27/01/2015

Ashley's shift:  9:00am-5:00pm

Nadia's shift:  7:00am-3:00pm

Time Nadia left:  3:35pm

Time Ashley left:  3:45pm

Reason given  Ashley had booked a tradesman to come and install Foxtel at home and needs to go and let them in.
